LionsLink Account Numbers and Department Codes

  • Chart Strings: Budget codes in the new system are referred to as chart strings. This previously recorded training goes over what each field means and how to find them.

Recorded Chart Strings Training

  • Account Codes: Account Codes are required fields for chartstrings in ctcLink. Speaking in terms of Legacy, Account Codes can be thought of as a bundled replacement of GL Codes, Sub-Objects, and Revenue sources (i.e., Account Codes replaced GL Codes, Sub-Objects, and Revenue Sources in ctcLink.)
  • Department Numbers: Department Numbers are also required fields for chartstrings in ctcLink. They are tied to a budget manager. Speaking in terms of Legacy, Department numbers are a replacement of Organization Indexes.

Employee FAQs

General FAQs

On February 28, 2022, LWTech moved to a new online system called LionsLink powered by ctcLinks for Student Services, Human Resources, Business Services. All faculty, staff, and students will use LionsLink. This cloud-based software will provide a set of common, mobile-friendly tools for students and staff to manage college business online, such as enrolling for classes, managing courses, processing payroll and more.

As an initiative of the Washington State Board for Community and Technical Colleges (SBCTC), the new software is called ctcLink—branded at LWTech as LionsLink powered by ctcLink. This software is developed by Oracle and the product is known as PeopleSoft. LionsLink replaces the current 35-plus-year-old administrative system.

  • HP-UX (SMS/PPMS/FMS)
  • FMS Query
  • Advisor Data Portal

ctcLink is a version of PeopleSoft that is specific to the Washington Community and Technical colleges. It replaced LWTech's "Legacy" system, commonly referred to as SMS (student and course information), FMS (financial management information), and PPMS (employee information).

Although we will capture all the data from our Legacy systems before we go live, the systems will no longer be available for processing transactions as soon as we "flip the switch" for ctcLink. The exception is Financial Aid, which will run both Legacy and ctcLink through the end of the 2021-22 academic year. Certain subject-matter-experts (such as in enrollment services) will have ongoing access to information in SMS.

Employee Account FAQs

If you forgot your ctcLink password, please follow the steps below:

  1. Navigate to the ctcLink Login page
  2. Select the ‘Forgot your password?’ link.
  3. Enter your ctcLink ID
  4. Press the Tab or Enter key on your keyboard.
  5. Your security questions will display. Provide an answer for each security question.
  6. Enter your new Password.
  7. Confirm your new Password.
  8. Click the Submit button.
  9. A pop-up window will confirm that your password has been reset.
  10. Click the OK button.
  11. Click the Close button.
  12. Login into the ctcLink login page with your reset password.

If you continue to experience issues with your password, please submit a helpdesk ticket through the ITS HelpDesk form.

If you have already received a ctcLink ID number from another college, you do not need to activate your account or receive a new number. The ctcLink ID number you already have is what you will use at LWTech.

You can look up your Employee ID with LWTech's LionsLink Student & Employee ID Look up tool.

The "tiles" you will see in your ctcLink access correspond to your roles at LWTech. Important note: the contact information you enter through the "Personal Details" tile in Employee Self Service will override the contact information you enter through the "Profile" tile in Student Self Service.

The ctcLink system will contain only one account for all of your activities, no matter how many colleges you are associated with. Once you log in, you will be presented with a way to choose which college information you wish to access at that moment.

ctcLink allows employees to request the addition of a preferred name.

Step-by-step directions:

Reporting and Queries

ctcLink includes two built-in reporting tools for staff: PS Query and BI Publisher. Both tools have a statewide library of queries, and most users are not able to edit or create their own queries. Many staff who are using ctcLink will need to run reports from statewide report library, however the ability to run reports is based on pillar-specific security permissions.

eMailMan eLists

ctcLink Customer Support uses eMailman eLists (aka Listservs) to communicate with subject matter experts (SMEs) and PeopleSoft users.
